full time International Sales Co-ordinator

Primary objective of the job:

To process Export enquiries, quotations and orders, offering good customer service, from receipt through to completion.

Summary of Duties & Responsibilities, (not in order of priority)

The co-ordinator is responsible for the processing of all enquiries, quotations and orders (If viable) received for a designated area/customers, according to the procedures and timescales set within the Department.

The Co-ordinator is responsible for entering quotations and orders directly on the computer system, ensuring correct pricing & acceptable profit margin.

The co-ordinator is responsible for the follow up of quotations issued for their designed area/customers and for the recording of the results on the appropriate system.

The Co-ordinator is responsible for sourcing any non-catalogue products (where appropriate) that are required to complete a quotation/order.

The co-ordinator must ensure that his/her workload is organised to meet specified deadlines ensuring timely & effective communication with Customers, Forwarders & other Departments (i.e. Warehouse, Marketing & credit control), where necessary

The Co-ordinator is responsible for the setting up of customer accounts and for ensuring the necessary Credit Control checks are completed and are satisfactory before entering the order on the system, in line with current Department procedures.

The co-ordinator is responsible for ensuring their knowledge of software packages used within the Department is up to date.

The co-ordinator is responsible for ensuring an acknowledgement of the order is to be sent to the customer within prescribed time scales, in all instances, indicating any changes & expected completion date.

The co-ordinator is responsible for working with the customer to ensure that any restrictions for an order are identified and any applicable Export License procedures are adhered to.

The co-ordinator is responsible for obtaining any necessary Letter of credit, also any extension or amendments that may be required. It is also the Co-ordinator responsibility to ensure that the order is processed according to Letter of credit instructions and the necessary documents are issued to enable payment of the Letter of credit.

The co-ordinator is responsible for entering all customer complaints/returns onto the system monitoring them on a regular basis and actioning in the most efficient and appropriate manner.

The co-ordinator is responsible for arranging & carrying out any inspections of orders required by the Importing Country and/or Customer.

The co-ordinator must initiate the raising of credit and commission notes together with substantiating documentation.

The co-ordinator must ensure that despatch & delivery deadlines determined by orders, contracts, Letter of credits, Import Licenses or other such means, are adhered to.

The co-ordinator must be familiar with current practices & legislation for the correct labelling, documentation & transport by whatever means of hazardous cargo.

The co-ordinator is expected to carry out special tasks and duties delegated by his/her Manager from time to time.

Salary: up to £21K
